This privacy policy explains how Portal Bot collects, uses, and protects your data.

Data Collection and Storage

Portal Bot collects and stores the following information:

User Information:

  • Discord User ID and username
  • Terms of service acceptance status
  • Last activity timestamps
  • Warning counts for policy violations

Session Information:

  • Active chat sessions between users
  • Channel IDs and Server IDs where bot is used
  • Chat session start times and activity timestamps
  • Forum thread IDs for moderation logging

Moderation Data:

  • Ban records (user bans and server bans)
  • Report submissions
  • Server moderator role configurations

How We Use Your Data

Your data is used exclusively for:

  • Facilitating anonymous chat connections between users
  • Enforcing community guidelines and terms of service
  • Moderating content and preventing abuse
  • Maintaining operational logs for troubleshooting
  • Auto-disconnecting inactive sessions (5 minutes of inactivity)
  • Enforcing maximum session duration (30 minutes)

Message Privacy

  • Messages are not permanently stored: Messages exchanged during chat sessions are relayed in real-time but not stored in our database
  • Forum logging: chat sessions are logged to a private Discord forum channel visible only to server moderators for safety and moderation purposes
  • Content moderation: Messages are scanned for banned words, profanity, and external links to protect users
  • Anonymous mode: When using anonymous mode, your username is hidden from your chat partner (shown as "Stranger"), but real usernames are logged in moderation forums

Data Retention

  • Active sessions: Stored while chat is active, automatically deleted after session ends or timeout
  • User records: Retained to track terms acceptance, bans, and warnings
  • Ban records: Retained for the duration of the ban, expired bans are marked as inactive
  • Moderation logs: Forum threads are archived after session completion for moderation review

Session Timeouts

  • Inactivity timeout: Sessions automatically end after 5 minutes of inactivity from either user
  • Maximum duration: All sessions automatically end after 30 minutes regardless of activity
  • Warnings provided: Users receive advance warnings before automatic disconnection

Data Sharing

We do NOT:

  • Sell your data to third parties
  • Share your data with advertisers
  • Use your data for purposes outside of bot functionality

We DO:

  • Log moderation actions to designated Discord channels
  • Store session information for active moderation
  • Share information with Discord as required for bot functionality

Your Rights

You have the right to:

  • Stop using the bot at any time by not initiating new sessions
  • Request information about your stored data by contacting the bot administrator
  • Report privacy concerns to the server administrators where the bot is deployed

Third-Party Services

Portal Bot uses:

  • Discord API: All Discord Terms of Service and Privacy Policy apply
  • MongoDB: Database hosting for session and user data

Data Security

  • All data is stored in a secure MongoDB database
  • Access is restricted to bot administrators only
  • Bot uses Discord's secure API for all communications
  • No passwords or sensitive personal information is collected

Changes to Privacy Policy

Bot administrators may update this privacy policy as needed. Continued use of the bot after changes constitutes acceptance of the updated policy.
